Assignments
Assignments link a Person, or multiple People in an aggregating resource, to the Requirements they are expected to have. A Record then documents the Requirements each person has attained.
JPAC compiles this information to calculate compliance and provide useful metrics and accurate reporting.
Adding and Removing Assignments
Note: Only a user with Assign permission can add or remove assignments.
Assignments can be added to an individual Person, or they can be assigned to lists of People by adding them to an Org Unit, Role, Employment Type or Tag. For example, your organisation may require all new employees to complete an Culture Induction (Requirement) and you have two new employees; John and Varsha.
The Requirement can then be assigned to a John and Varsha individually using the add icon in the Assignments tab on their individual pages.
Alternatively, the Requirement can be assigned to a Tag (Or Org Unit/Role/Employment Type) called 'New Staff' with John and Varsha as members. The assignment will automatically apply to all People within the tag.
Setting Effective and Expiry Date Ranges
When adding an Assignment to a Person/Org Unit/Role/Tag/Employment Type, an advanced tab will appear. Here you will be able to enter two dates:
- Effective date: The date that the Assignment will be required from. By default JPAC uses the current date and time when the Assignment is created.
- Expiry date: The date that the Assignment will no longer be required. This can stay blank if the Requirement will be applied indefinitely.
These dates allow you to set Requirements that are only enforced from a future date, or are only temporarily required. You can use these date ranges to pre-stage policy changes ahead of time.
For example, a mandate may be released to say that from the 1st of January 2023 all forklift drivers will no longer need a forklift license, but will instead require a heavy machinery license.
- The Requirement of 'Forklift license' can then have an expiry date of 01/01/2023, as it will no longer be required after this date.
- A requirement of 'Heavy Machinery license' can then be added with an effective date of 01/01/2023, as it will only be required from this date onwards.
