Attachments

Attachments allow you to store files against any resource. This can help to provide extra information, such as photos, work instructions, performance reviews, detailed descriptions etc.  Attachments can be added to People, Requirements, Org Units, Roles, Employment Types, Categories and Tags.

Currently only Image and PDF files can be stored as attachments.  Other formats like doc, docs, xls and xlsx may be allowed in a future release.  

Adding attachments

To add an attachment, first navigate to the resource's individual page. In the extended information section of that page, select the Attachments tab. You can then use the green add icon to add a new Attachment

Note: an attachment is also created for a person when a Record is created with an attached file.

  1. Click on the Choose File area or drag and drop an image file or PDF onto it
  2. (optional) The name of file can be overridden
  3. (optional) The default permission can be overridden and set as "Private".
    1. Default : all users with access to the resource the attachment belongs to can view and download the attachment
    2. Private : access the attachment is limited to only the uploader and admins. 
    3. the permissions can always be changed later by an admin or the uploader to match specific requirements.
  4. Click Save 

Viewing 

You can view an image of the attachment itself, as well as any relevant details including the permissions using the view icon.

You can edit the name of an Attachment, and the status (active/inactive), as well as the permissions. Use the edit icon under Actions to make the edits and then press save to finalise the changes. 

Notes: 

  • To update the permissions on an attachment you must have the 'Secure' permission, otherwise you will only see a Not Authorised message.
  • Inactive attachments will only appear in the list when the filter is set to 'inactive' or 'any'.

Deleting

Attachments can only be deleted by an Admin. Click on the Red bin icon then click on the Delete button in the confirmation dialog.
